Position Overview:

In this role, you will be responsible for a diverse range of administrative and creative tasks, as well as direct client interactions. Your responsibilities will encompass various administrative functions such as managing inboxes, conducting research, designing graphics, and overseeing social media accounts. Above all, you’ll be tasked with maintaining meticulous attention to detail, ensuring the smooth progress of all ongoing projects, and delivering exceptional customer service at every step.  

We are seeking an individual who possesses self-initiative, a strong eye for detail, excellent communication skills, consistency in handling recurring tasks, and a steadfast commitment to meeting deadlines. Key Responsibilities:
Tasks may include, but are not limited to: 
  • Skillfully handle and synchronize work and personal calendars, ensuring smooth scheduling and effective time management without conflicts. 
  • Manage and maintain emails/inbox, ensuring efficient organization, timely responses, spam control, while safeguarding sensitive information and enhancing overall communication productivity.
  • Effectively utilize CRM systems for client management, including tasks like adding new contacts, monitoring important milestones, maintaining detailed notes, and ensuring prompt execution of team reminders and tasks. 
  • Support email marketing efforts, which may include managing lists and campaigns. 
  • Contribute to copywriting efforts, ensuring high-quality content for various purposes. 
  • Conduct comprehensive internet research, gather and analyze data, and prepare reports to inform decision-making. 
  • Handle invoicing and related financial tasks. 
  • Assist with planning and executing virtual events, including managing registrations and logistics on online platforms. 
  • Coordinate travel arrangements and accommodations for team members attending virtual conferences and meetings 
  • Maintain effective communication with clients, colleagues, and stakeholders through email, chat, or video conferences. 
  • Support basic social media tasks, which may encompass posting, content creation, engaging with the audience, responding to messages and comments, and planning posts ahead of time. 
  • Streamline workflows and enhance internal processes using remote collaboration tools and software. 
  • Conduct routine data entry and ad-hoc research tasks as required to assist with various projects and initiatives. 
Qualifications & Skills 
  • Bachelor’s Degree preferably in Business Administration, Management, Communication, or equivalent. 
  • Able to work Canadian hours. 
  • 3+ years of experience in an administrative assistant, virtual assistant, executive assistant, or project management roles.  
  • Proficiency in Microsoft Suite, Google Suite, CRM systems, and project management softwares.  
  • Ability to excel in working independently, while also thriving in a collaborative team environments. 
  • You are well-versed in social media, particularly on platforms like Meta and Instagram (relevant for creative roles). 
  • Resourcefulness and research skills are your strengths. 
  • Exceptional interpersonal and communication skills including, written, verbal and presentation. 
  • Possesses an exceptional ability to handle sensitive and confidential information with the utmost discretion and integrity, ensuring that privacy and trust are upheld at all times. 
  • Ability to effectively identify problems and opportunities, evaluating potential solutions, and achieving desired outcomes. 
  • Superior organizational skills, adept at multitasking, setting priorities, and thriving under pressure to meet deadlines. 
  • Dedicated to delivering exceptional customer service, with a passion for ensuring customer and client satisfaction and a track record of going above and beyond to meet their needs.
